Refund & cancellation policy

1. What this policy covers

This policy applies to You Belong Here, the April 8–11, 2027 retreat in Whittier, North Carolina, offered by Balkan Mama Therapy, LLC and led by Selma Baćevac. It does not set the terms for the Bosnia retreat, consultations, courses or other services. This is a booked experience, so there is no physical product to return.

2. Your price and payment plan

The full retreat price is $1,257 per person for a shared room or $1,775 for a private room, in USD. A shared room means two women sharing one king-size bed and the room’s bathroom. A private room includes your own bedroom and bathroom.

The deposit is part of the total price, not an additional charge. Payment is requested only after our conversation and your invitation, if you choose to join. Your room, amount due and payment schedule will be confirmed in writing before you pay; a booking after an installment date needs a written schedule that reflects that date.

The price includes three nights, meals from Thursday dinner through Sunday breakfast, the retreat program and the pre-retreat group Zoom. Travel to and from Whittier is separate. A payment plan spreads the cost and does not change the cancellation terms.

3. If you need to cancel

On or before January 31, 2027: We refund everything you have paid beyond the $500 deposit and cancel any remaining scheduled installments for the cancelled booking. The deadline is 11:59 p.m. Eastern Time on January 31, based on when your written cancellation reaches our email address. You do not need to wait for our reply for a timely request to count.

From February 1, 2027: Payments already made are non-refundable for a guest cancellation, except where a refund is required by law or we agree otherwise in writing. This also applies to a no-show, late arrival, early departure or choosing to miss an activity. Any remaining payment obligation must be set out in the booking agreement you receive before paying; this page does not add a new penalty or collection fee.

If illness, caregiving responsibilities or another unexpected situation affects your plans, contact us. We can discuss the situation, but a refund, credit or exception after the deadline is not guaranteed. Please do not assume that a travel delay or a change in personal circumstances automatically changes the policy.

4. How to cancel or request a refund

Email hello@balkanmamatherapy.com with the subject “North Carolina retreat cancellation.” Include the name and email used to book, the retreat dates and your booking or payment reference if available. Please do not send card numbers, medical records or detailed personal explanations.

We will confirm the cancellation and any amount to be refunded by email. Eligible refunds will be initiated within 10 business days of receiving your cancellation request, once we can identify the booking, and returned to the original payment method where available. Your bank or payment provider may take additional time to display the credit; if we need more information to locate your payment, we will explain that by email.

5. If we cancel or reschedule

If we cancel the retreat before it begins, we refund all retreat payments you made to us, including the $500 deposit. This applies whether the cancellation is due to insufficient enrollment, facilitator illness, severe weather or another circumstance that prevents us from holding the retreat. We will initiate those refunds within 10 business days of notifying you of the cancellation.

If we move the retreat to different dates before it begins, you may choose to accept the new dates or receive a full refund, including the deposit. You will not be required to accept a future credit. If we end the retreat early, we will refund the portion of your retreat payment attributable to the accommodation, meals and program we cannot provide, without limiting any additional rights required by law.

Flights, rental cars and other arrangements you book separately are not part of our retreat payment refund. Check those providers’ cancellation terms before booking. Nothing here removes any right to recover other losses where applicable law provides that right.

6. Changes, transfers and missed payments

Session order and outdoor activities may change with weather, access and group needs. A reasonable adjustment to an activity is different from cancelling the retreat; if a substantial part of the purchased experience cannot be provided, we will explain the available remedy and honor applicable rights. We will not substitute shared accommodation for a confirmed private room without your agreement.

A place cannot be transferred to someone else or moved to another retreat automatically. Each participant has a conversation with Selma before joining, so any replacement or transfer needs written confirmation. If you expect to miss a payment, contact us before its due date so any revised arrangement can be confirmed in writing.

7. Your existing agreement and legal rights

This policy applies to bookings made under these terms from the effective date below. We will not use a later website change to reduce refund rights already confirmed for an existing booking without your agreement. Where a mandatory consumer right or a more favorable written booking term applies, that right or term is preserved.
